Proper Etiquette For Virtual Meetings

How to have a successful virtual meeting with these tips for proper etiquette. 

  1. Don't use your keyboard during the meeting. Nothing is more distracting during a virtual meeting than the sound of a tapping keyboard. Usually computer microphones are located just a few inches from your keyboard. Besides the sound when you are typing on your keyboard it can keep you from fully focusing on the meeting. We recommend taking a good old fashion pen and paper and writing down notes.
  2. Get Dressed. While it may be tempting to not put pants on or to just slip a hoody on there is no reason to show your team members your PJ's. A difficult part of working remotely is having the motivation and the dedication to focus on your work task and not get distracted by the tv or house chores. We always recommend to get up early enough before your meeting and shower, put real clothes on, and brush your teeth!! Not only will you feel better when working but it will help get your mind in the right mentality.
  3. Get your room ready. Nothing is worse than going to have a virtual meeting and your bra is still in the background from the night before or your room is super messy. Take 15 minutes before your meeting and try and clean up the space around you. Just as in real life people will look at how you present yourself in the meeting and the area around you and that will change how they respond and focus during the meeting.
  4. Mute Your Microphone When Your Not Speaking. When you are in a large meeting with lots of people it can be difficult to hear every word someone says when they are speaking. Especially if everyone else has their microphone on and has background noise going on. When you are not speaking you should mute your microphone to help keep excess background noise out of the meeting.
  5. Don't Eat During the meeting.  NOTHING is more disrespectful during a meeting than people seeing you eat while they are trying to speak. You should try and have a snack before your meeting which will help keep you focused on the meeting and not your empty stomach.
  6. Close all non-essential programs and windows. Some virtual meetings will require you to have multiple windows or programs open and thats ok. But to help you focus on the task at hand you should also close any extra tabs not relevant to the meeting before joining the room.
  7. Let people know what your talking about. Its easy in virtual meetings to share your screen of one topic or piece of information and start talking about another concept or idea. However, it is important that if you are talking about a paper or a packet of info that the other participants have that you tell them you are talking about the PDF you sent over and what page you might be referencing. This will help keep everyone on the same page and focused on what they should be.
